Regulations on International Students Course Assessment in LNU (Trial)

Chapter One Types of Assessment

1. The international student must undergo assessment of the courses prescribed by the degree program (including practical teaching such as experiment, internship, curriculum design, graduation project, thesis, etc.). The assessment will be recorded in the transcript and collected in personal archives, which is the basis for the change of student status or graduation.

2. Curriculum assessments consist of assessment of course performance and examination. The ways to assess are defined when the degree program is made.

The assessment of course performance is a summative evaluation of class evaluation made by a teacher to students. The course evaluated by assessment of course performance emphasizes process evaluation rather than just depending on term end examinations. The course performance is comprehensively assessed by student’s class attendance, involvement in class discussion, quizzes, assignments, experiment report, and written papers presented by the student.

A. A physical course is comprehensively assessed by class attendance, performance in class and exercises out of class

B. Practice teachings such as experiments, internship, practical training, and course design are evaluated by experiment reports, internship report (or summaries), course design drawings or specifications and the total term end score for each assessment is 100. If not within the examination week, students would undergo assessment in the form of a written examination or other

C. Graduation design or thesis is evaluated by reviews and defense.

Examination is a major way to summatively evaluate student’s course of study. Examination courses stress combining goal control with process control. For a course focusing on theoretical teaching, the assessment is undertaken by combining class scores with end-of-term examination. Examination scores account for 50% of the total scores. Class scores consist of two parts: class attendance and class assignments (including quizzes, mid-term examination), each part accounts for 25% respectively in the total scores.

All the exams of examination courses in the degree program are arranged in the term end examination weeks. The examination schedule is arranged by the Academic Affairs Office. If a course ends mid-term, the evaluation can be conducted by the school or department which offers the course after the course ends and the school or department at which the students study provides support.

 

Chapter Two Ways of Assessment

3. The assessment can be undertaken in different forms such as written examination, oral examination or operation and so on, according to course nature, course features, quantity standards and teaching contents. The written examination may be open-book, semi open-book closed-book or requires the students to submit an investigative report or paper or a combination of these. The way to assess a course must be clearly stated in the examination outline and the students should be told in the first class. If the way to assess needs to be changed, an application must be applied by the teaching and research section a month before the course ends and reported to the Academic Affairs Office after it is approved by the school or department.

 

Chapter Three Examination of Assessment Qualifications

4. Before course assessment, a student must acquire course assessment qualifications.

The student who is registered is permitted to take the assessment after he/she passes the examination for assessment qualifications;

The student whose registration is postponed is permitted to take the assessment after he/she passes the examination for assessment qualifications. His or her assessment scores are valid after he/she is registered;

For an elective course, procedures to select must be completed. After a student signs up for a course, he/she obtains the qualifications to take the course and examination.

If a student takes an examination without obtaining qualifications for taking an examination, his/her scores are invalid.

5. The teacher who teaches a course should finish the examination of course assessment qualifications one week before the assessment is undertaken and report the list of the students disqualified for assessment to his/her current workplace to receive examination. The list should be attached with the explanations of why the students are disqualified for assessment. After the staff in charge of academic affairs collects the lists, he/she should report them to the Academic Affairs Office for approval. After they are approved by the Academic Affairs Office, the staff in charge of academic affairs of the school or department at which the students study should inform the students before the examination. The teacher who teaches the course should record those students’ scores as “unqualified for assessment” on the scores record form.

6. If one of the following cases occurs, the student is unqualified for taking the assessment.

If the total periods for a student to be absent from class are over 1/3 of the total class hours of a course, he/she is not permitted to take the course assessment;

If the total amount for a student to fail to submit assignments (including exercises or experiment reports) is over 1/3 of the total amount of the assignments for the course, he/she is not permitted to take the course assessment;

If a student fails the experiment summative assessment of a course, he/she is not permitted to take the

course assessment;

If a student takes a course without signing up, he/she is not permitted to take the course assessment.

7. The student who is unqualified for assessment will be permitted to take a make-up examination after he/she makes up the classes, assignments he/she missed and completes the make-up procedures with the agreement of the teacher, the examination of the school or department, and the approval of the Academic Affairs Office.

8. All the students who are qualified for taking assessment but are absent from assessment without permission shall be unqualified for taking the regular make-up examination.

9. The student who is absent from end-of-term examination or from the regular make-up examination will be given one chance to take a make-up examination before graduation if he/she makes an application, which is examined by his/her school or department and approved by the Academic Affairs Office. If a student is absent from the make-up examination before graduation or the make-up examination after completion of course study without permission, he/she will be given no chance to take another make-up examination.

 

Chapter Four Make-Up Examinations and Deferments

10. If a student fails to pass the assessments of courses in a term, the make-up examinations are arranged during the two weeks before the new term starts. If a student fails to pass a course in the last term (graduating term), he/she should take a make-up examination before he/she graduates from the university; if he/she fails in the graduation design/thesis, or in the graduation internships, he/she has no access to taking part in any make-up examinations before he/she graduates.

11. The Academic Affairs Office arranges the make-up examinations which are cross-faculties, and the office of each faculty arranges for the make-up examinations for the courses they offer. The student shall be informed of the schedule for the make-up examinations by the faculty at which the student studies.

12. If a student fails the make-up examinations (not meeting the conditions to be degraded, and not including the courses in the last term), he/she may take part in one more make-up examination before he/she graduates. The arrangements for the make-up exams go as follows:

The graduating make-up examinations for the students who fail the examinations in the 1st, 2nd, 3rd, and 4th terms will be given during the period when the make-ups are arranged for the next year’s students (i.e. the graduating make-up examination for the failure in the 1st term is given in the 4th term, the ones in the 2nd are given in the 5th term, the ones in the 3rd are given in the 6th term, and the ones in 4th are given in the 7th term.). The graduating make-up examinations for the students who fail examinations in the 5th, 6th, and 7th terms will be given in the 8th term.

If a student meets the conditions of detainment, degradation, or dismissal, he/she should be detained or dismissed from the university and no more graduating make-up examinations will be arranged.

13. If a student fails on the graduating make-up examinations, he/she will not graduate from the university but just completes the course of study. However, he/she will be permitted to apply, within one year, for the make-up examination after he/she leaves the university.

14. If the students fail to attend exams because they have participated in some formal activities arranged by the university, they can attend the postponing exams arranged by the Academic Affairs Office if their applications for postponement of exams are approved by the Vice President of LNU.

15. The students must apply for postponement of exams before the exams, if they could not attend normal exams or make-up exams on time because of unforeseen reasons. The application for postponing exams must be permitted by the class teacher and the School Vice Dean and approved by the Academic Affairs Office. In postponed exams, if the students fail, the result of the exams will be treated as failure of make-up exams; if the students pass, the scores are recorded as those of normal exams. The postponed exams for normal exams will be arranged at the time when the make-up exams are held in the next term. And the postponed exams for make-up exams will be arranged at the time when the make-up exams  before graduating are held. The postponed exams for the make-up exams before graduation will be arranged before graduating.

16. The students must report to the proctors if they cannot take exams because of unforeseen reasons. Then the proctors should report this to the Academic Affairs Office. If the unforeseen reasons reported by students are reasonable and approved by the university authorities, the students can cease exams and take postponement exams or make-up exams, dependent upon the decision of the university authorities.

17. The students who violate the rules of the examination or cheat on the examinations will face disciplinary actions in accordance with the seriousness of the case. Those who are imposed demerits or probation because of the above reasons can apply for a make-up exam at the end of the 7th term, dependent upon their improved behavior after counseling, and the make-up exam will be arranged in the 8th term. If a student violates the rules of the exam or cheats on the make-up exam, he/she will have no chance to apply for another make-up exam.

 

Chapter Five The Discipline of Examinations

18. To discipline exams and provide high quality exams, the students should follow the disciplines of exams in the following

The students should attend all the exams prescribed by the university. The students who are unable to attend exams prescribed by the university because of illness or other reasons should submit an application in advance and the application should be permitted by the class teacher and the School Vice Dean in charge of the international student work and approved by the Academic Affairs Office. The students who fail to attend exams (including the make-up exams in the 8th term) without proper reason are considered as a deliberate absentee and cannot apply for make-up exams

All books, teaching materials, notebooks, cell phones (cell phones should be powered off before the

exam starts), E-dictionaries, calculators and other articles are not allowable for closed-book exams and must be put in a place designated by exam supervisors before the exam starts. The students who violate  the above instruction shall be imposed with punitive action according to the policies in dealing with violations of the assessment disciplines.

It depends on the teachers who assign the exams whether calculators (without storage function) can be used or not, which will be marked on the exam paper. If calculators are permitted for the exams, the calculator can only be used personally. The students cannot borrow or lend a calculator during exams.

In open–book exams, the students can bring necessary stationery and reference books allowed for the subjects designated by the exam teacher

The students must enter the examination room 15 minutes before the examination begins and show their certificates for exams and their student cards or ID cards when taking examinations. They must follow the instructions of the exam supervisor for seating arrangements. They must place their ID cards on the top of the desk for ease of verification by exam supervisors. The students without credentials will not be permitted to take the examination

The students shall write down their names, student number, class and grade on the designated area of the exam paper, and cannot mark any grade on the paper, or else the paper will be invalid. The students must finish the paper individually without side-glance, whispering, signaling or gesturing during the exam. The students should not offer tools to others for cheating and should not borrow any stationery or other articles. The students who violate the above instruction shall be imposed with punitive action according to the policies in dealing with violations of assessment disciplines

The students who are more than 30 minutes late for an exam, except for unforeseen reasons, will not be allowed to take the ongoing exam and their absence shall be treated as “evading the exam”. The students should not hand in their exam papers until 30 minutes after the exam begins and should not leave the examination room without permission during the exam, or their papers will be treated as “handed-in”. If the students must leave the examination room during the exam because of special reasons, they must ask permission from the proctors

The students who have questions during the exam should raise their hands and ask the proctors but should not ask classmates. No one should speak aloud during the exam

The students must stop writing and turn their paper over when the bell rings and leave classroom after the proctors declare the exam is over. The students should not take away exam papers or any discarded papers. The students who violate the above instruction shall be imposed with punitive action according to the policies in dealing with violations of assessment disciplines.

 

Chapter Six The Policies on Dealing with Violations of Assessment Disciplines and Cheating in Assessment

19. The Policies in Dealing with Violations of Assessment Disciplines and Cheating in Assessment are as follows:

Violations of assessment disciplines and cheating in assessment

A. Behavior that falls into any of the following categories shall be deemed as violations of assessment disciplines:

a. Not carrying certificates required for exams (certificate for exams, student cards and ID cards);

b. Carrying into examination locations objects prohibited in the exams;

c. Failing to follow the seating arrangement or the seating shift by the proctors when taking the exam;

d. Starting to do the test before the starting signal is given or continuing to do it after the ending signal is given;

e. Side-glance, whispering, signaling and gesturing during the exam;

f. Leaving or entering the examination location during the exam without the proctors’ permission;

g. Cell-phones or such kinds of communication tools ring during exams;

h. Correcting answers on exam papers after handing in exam papers;

i. Not handing in exam papers on time;

j. Taking away exam papers and answer sheets of exam papers;

k. Other behaviors violating the examination regulations.

B. Behavior that falls into any of the following categories shall be deemed as cheating:

a. Taking exam–related text materials or electronic devices stored with exam-related information into the location for a closed-book exam; or writing any exam-related words or making any exam-related symbols on the exam desk or one’s body;

b. Copying other students’ papers or exam-related materials; or deliberately letting others copy one’s own exam paper or exam-related materials;

c. Comparing each other’s answers, or passing notes, exam papers, answer sheets and discarded exam papers; or using communication equipment or other devices to send and receive exam-related data;

d. Tear exam papers or answer sheets up during exams;

e. All of one student’s answers are exactly the same as those on the answer sheet of another examinee during the same course examination in the same location;

f. Cheating by any other means.

C. Any of the following behaviors will be deemed as serious cheating:

a. Taking an exam in another student’s name or having one’s own exam taken by someone else;

b. Shifting each other’s answer sheets;

c. Stealing exam papers and giving them to other students;

d. Falsifying names of another examinee and fill in his/her own name;

e. Organizing cheating;

f. Cheating seriously by any other means.

Penalty

A. If a student violates the regulations in a course assessment, the scores for the course shall be recorded as “Violation of Regulations” in his/her files, and he/she will not be permitted to take the regular make-up examination. The student shall be penalized by being given demerits. The notice of his/her violations is circulated all over the university and sent to his/her guardians;

B. If a student cheats on a course assessment, the scores for the course will be recorded as “Cheating” in his/her file, and he/she will not be permitted to take the regular make-up examination. The student will be penalized and be put on academic probation. The notice for his/her cheating is circulated all over the university and sent to the institution which sent him/her to study or his/her guardian;

If a student seriously cheats in an assessment or cheats twice, he/she will be expelled from the university;

C. If proctors or examination supervisors discover a student who violates examination regulations or cheats during an examination, he/she should point it out immediately and record it, and let the student confirm it by signing his/her name. After the examination ends, it should be reported to the Academic Affairs Office at once;

D. The Academic Affairs Office defines the scope of violation or cheating and advises how to handle the incident after examining the evidence concerned, and then reports to the president of the university to approve or hold a meeting presided by the president to deal with the university affairs to discuss and decide how to handle the issue. (If other cases of violating examination regulations without being mentioned in the regulations occur, it is the Academic Affairs Office that defines the matter and puts forward an opinion to handle the situation.

Penalty Procedures

If a student violates the regulations or cheats on an examination, the Academic Affairs Office will advise on how to handle it. After the decision is made by the university, the statement of penalty is given to the student. The decision to expel a student is made through a meeting presided by the president to deal with the university affairs. If the student raises an objection to a penalty, he/she may lodge a written appeal to the Student’s Appeal Committee of the university within five work days from the day he/she receives the penalty statement given by the university. The student’s appeal is enacted in compliance with LNU’s Policy on Dealing with Student’s Appeal.

 

Chapter Seven Supplementary Provisions

20. These regulations shall take effect from their date of issue, where the right of interpreting the details belongs exclusively to the International Office and The Academic Affairs Office of LNU.
